1. TRADING HOURS –
Trading Hours are 9:00 am to 4:00 pm on Friday & Saturday and 9:00 am to 2:00 pm on Sunday.
2. INSURANCE
a. A Trader must maintain public liability insurance (including coverage for third party property liability) in respect of their attendance at Minerama with a minimum coverage of $20m per occurrence and will ensure that its insurer waives all rights of subrogation against Council and any representative, employee, volunteer, contractor or office holder of Council with respect to any acts or omissions by Council.
b. The Trader indemnifies the Council and any representative, employee, contractor, volunteer or office holder from and against any claim, demand, action, loss, cost, damage or expense whatsoever including without limitation as a result of:
i. Any acts or omissions (including negligence or unlawful conduct) of Council or the patrons attending the performance; and
ii. Any breach of this agreement by Council.
c. Traders will be responsible for any damage or injury to persons or any property which may be occasioned by, or arise out of, the use of any machinery, implement or apparatus, used in connection with the stall andherebyindemnifyGlen Innes Severn Council accordingly.
3. POWER LEADS
a. All power leads & power boards must be tagged to AS3760:2001 Standard.
b. If any electric equipment is being used, electric cords/cables must be covered by floor covering and equipment placed to the satisfaction of Glen Innes Severn Council.
4. SECURITY -
a. Glen Innes Severn Council are not responsible for any loss, theft or damage – goods lost, left or stolen is entirely at the traders’ own risk.
b. Safety/security is the responsibility of all participants. Any dangerous situation, safety hazard or security risk should be reported immediately to the Site Manager or on-site security.
c. There will be a security service at the Showgrounds during the following hours:
• Thursday 5/3/26 – Static Guard 17:00 – 06:00
• Friday 6/3/26 – Crowd Patrol Outside Traders and New & Old Pavilions. 06:00 – 17:00
• Friday 6/3/26 – Static Guard 17:00 – 06:00
• Saturday 7/3/26 – Crowd Patrol Outside Traders and New & Old Pavilions. 06:00 – 17:00
• Saturday 7/3/26 – Static Guard 17:00 – 06:00
• Sunday 8/3/26 – Crowd Patrol Outside Traders and New & Old Pavilions. 06:00 – 14:00
5. STALL SITES – Space is limited.
Glen Innes Severn Council reserves the right not to accept any application for whatever reason. Stallholders shall follow any direction issued by the Minerama Site Manager or emergency services personnel.
a. Set Up Time – Inside & Outside Traders may set up from 11am to 5pm on Thursday 5 March 2026.
b. Traders are required to remain trading until 2:00 pm on Sunday, 8 th March.
c. Stallholders are responsible for the consistent manning and supervision of their stall (see Trading Hours on previous page).
d. Traders will be responsible for keeping the immediate surroundings of their stalls clean, tidy and safe.
e. Stall names are to be displayed and Traders are required to wear their name badges, to assist with communication and security.
f. All trading spaces will be allocated by the Site Manager. There shall be no sub-letting of trader space.
g. There shall be no auctioning of goods or unauthorised raffles by traders at Minerama.
h. ALL stalls (food traders exempt) are required to display a minimum content of 70% by volume and value of stock relating to the theme of Minerama. Clothing stalls, household items etc are NOT PERMITTED.
i. Only Glen Innes Severn Council and staff are permitted to move banners and signage.
j. Trading tables are reserved if payment is completed by 30 January 2026.
k. Inside trader space is in demand and it is essential to complete payment by the above date, accompanied by an official Glen Innes Severn Council Invoice. Any trader who has not paid by the due date will have their tables offered to the waiting list. Last minute arrivals may not be permitted.
l. Sites are limited. Glen Innes Severn Council reserves the right to not accept any application for whatever reason. Stallholders shall follow any direction issued by the Minerama site manager, Council Staff, Showgrounds Trust or emergency services personnel.
6. PRODUCT AUTHENTICITY -
It is a requirement that all items on sale are authentic. If items are deemed to be misrepresented e.g., labelled incorrectly or said to be not what they actually are, Council, at its discretion, will ask that trader to remove the items from sale or cease trading at Minerama, effective immediately.
7. CANCELLATION -
Cancellation of tables/sites in any category will entitle the stallholder to the following refunds:
a. Less than 30 days prior to Minerama – NO Refund
b. Over 30 days – full refund.
c. Stallholders may apply to Glen Innes Severn Council for consideration where SPECIAL circumstances may apply e.g. Medical Condition. The application must be made in writing and accompanied by appropriate evidence.
8. There is no alternate date or site for Minerama (in the event of bad weather or any other natural or man- made event that may cause loss, cancellation or evacuation, etc.). Refunds do not apply in these circumstances.
9. Failure to comply with the above conditions will render the trader liable to exclusion from Minerama.
